01

Who is responsible

Sachman Global Ltd operates MyProperty Services and is the data controller for information collected through this website and its booking, enquiry, review and administration processes. This notice covers people requesting or receiving services, property and access contacts, reviewers and other visitors. A professional who carries out an assessment may also have separate legal or accreditation duties for their own inspection and certificate records. Where that professional decides how to meet those duties, they may be an independent controller for that limited use.

Use the contact details on this page to ask about your information or make a rights request. We may need to confirm your identity before disclosing or changing a record.

02

What we collect

The information depends on the interaction. An enquiry can include your name, email address, telephone number, subject and message. A booking or quote request may also contain the service, property address and postcode, building type and size, bedrooms, appliances, consumer units, project details, preferred appointment, access instructions and anything you enter in the additional information field.

For an order we record the reference, price or quote, payment method and status, updates, communications, invoice, completed document or report link and relevant delivery history. Stripe handles card entry; our records contain payment outcomes and references rather than complete card numbers or security codes. If you submit a review, we receive your chosen display name, town, rating, review text and, where supplied, contact or order details used to check authenticity. Approved review details are shown publicly.

The site and hosting environment may process technical information such as IP address, browser and request data, session identifiers and security logs. An administrator's account and actions are recorded for access control and audit. We do not ask you to include unnecessary sensitive information in a form or review.

03

Where information comes from

Most details come from you through the website, by telephone or by email. A property owner, landlord, agent, tenant or colleague arranging access may provide relevant contact and property information. The assigned professional may supply appointment updates, payment confirmation, inspection notes, a report file or a secure link to the finished work. Stripe sends the payment result needed to update an order.

04

Why we use it

We use contact and property information to respond to an enquiry, provide a quote, form and manage a booking, arrange access, administer payment and deliver the requested outcome. These activities usually rely on steps you ask us to take before a contract or on performance of a contract. Invoicing, tax and other mandatory records may rely on legal obligations.

We use limited technical and administrative records to protect the site, prevent misuse, handle complaints and maintain reliable operations. Our legitimate interests include security, service quality and protecting legal rights, balanced against your interests. Where optional analytics or advertising technologies require consent, we do not enable them before you make the relevant choice. We do not require marketing consent to request a service.

05

Incomplete bookings and reminders

If you enter a valid email address while starting an order, the website may save the details already entered as an unfinished booking so that you can return to them and our team can help you complete the request. An administrator can send a reminder containing a secure continuation link. The reminder includes a way to stop further messages about that unfinished booking. We use the information for the booking you started, rather than for unrelated marketing. Completing an order marks the draft as converted.

06

Who receives information

We share information needed for the job with the assigned assessor, engineer, electrician or other professional, and where required with relevant accreditation or certificate lodgement systems. Hosting, email, payment and technical support providers process information needed to operate the site. Stripe receives card and checkout information on its own secure service. A property owner, landlord, agent, occupier or public authority may receive a report or information where that follows from the instruction or a legal requirement. We may also disclose information to advisers, insurers, regulators or authorities where necessary and lawful.

We do not sell your personal information. A recipient that decides its own separate purpose may provide its own privacy notice. Please tell us if an access contact or another person's details should be corrected.

07

Payment services and international processing

Choosing card payment takes you to Stripe-hosted checkout. Stripe collects the payment credentials directly and sends us the transaction result and reference needed to manage the order and invoice. Some service providers may process data outside the UK. Where a transfer is restricted by UK data protection law, we use or expect the provider to use an appropriate legal safeguard, such as a UK adequacy regulation or an approved transfer agreement. Contact us if you need information about a particular transfer.

08

How long we keep records

We keep information only while there is a genuine service, legal, accounting, safety, insurance or dispute-related reason. An unanswered enquiry or unfinished booking is reviewed against the need to follow up and handle a possible complaint. Completed orders, invoices, payment evidence and reports may need to be kept longer for tax, contract, professional or regulatory purposes. The relevant retention period depends on the record and the legal requirements that apply; information no longer needed is deleted, anonymised or restricted from routine use. A public review remains visible only while it is approved and relevant, and may be removed following a justified request.

09

How we protect it

The website uses encrypted HTTPS connections, administrator authentication, protected server settings, form checks and controlled links for customer documents and invoices. Report files are stored outside the public web directory. Access is limited to those who need it to arrange or deliver the service. No online system can promise perfect security. Please do not send card numbers, passwords or unrelated sensitive details by email or through a website form.

10

Your choices and rights

Depending on the circumstances, you may request access to your information, ask us to correct it, request erasure or restriction, object to a use based on legitimate interests, or request certain information in a portable format. You may withdraw consent for a use that relies on consent without affecting earlier lawful processing. You can object to direct marketing at any time. Some rights are subject to legal conditions and may not require deletion of records we must retain.

Send a request through our contact details and give enough context to identify the relevant record. We normally respond within one month, subject to lawful extensions for complex or multiple requests. You can complain to the Information Commissioner's Office if you remain concerned.

11

Children, other people and reviews

Our booking service is intended for adults and organisations. If you give us a tenant's, employee's or access contact's details, provide only what is needed and make this notice available to that person where appropriate. Please do not put a full address, email, telephone number, order reference or other private information in a public review. Reviews are moderated before they are published.

12

Updates and related policies

We revise this notice when the website, its providers or legal requirements change. A revised date is displayed above. Our Cookie Policy explains device storage and consent choices. Our Terms and Conditions describe how service requests and bookings are managed.
